Read this first (important)

To keep your paper in the Caving 2026 proceedings, you must complete all required actions below by 28 May 2026. If any required item is missing, incorrect, or late, your paper will be withdrawn from the proceedings and program. 

What you must do (all steps required)

Please complete every step below for your accepted paper. Do not skip any step.

1. Register as the presenting author

The presenting author must register for the Caving 2026 conference.

When registering:

  • Use the same name as shown on the accepted paper
  • Enter your paper number when prompted (number at the start of your file name)
  • Only one person can register at the speaker rate (see Speaker Terms & Conditions)

2. Submit your FINAL paper 

You must submit a final revised version of your paper via ProMPT.

Requirements:

  • File format: Microsoft Word (.docx) only
  • Tracked changes MUST be turned ON
  • Upload ONE file only
  • All reviewer comments must be addressed in the text (please note that the reviewers’ comments may not necessarily reflect the views of the ACG event organisers).

3. Upload your signed publication agreement

A signed publication agreement is required for every paper.

Before uploading, check that:

  • all required boxes are ticked
  • the document is signed by one of the authors.

4. Upload speaker bio notes

Speaker bio notes are used by session chairs for speaker introductions.

Important:

  • Maximum length: 70 words
  • Speaker only (not all authors)
  • Use the provided template

ORCID iD

You may optionally link your ORCID iD to your paper to help correctly attribute your work and publications: https://info.orcid.org/researchers/

Common mistakes that lead to withdrawal

Please double‑check your submission. Papers are most often withdrawn because:

  • reviewer comments are not addressed
  • presenter has registered under a different name than the paper (this may happen if we do not have a speaker registered for a paper because the names don’t match).

Before you submit

Please confirm that you have:

  • registered as the presenting author
  • uploaded one tracked‑changes Word file
  • uploaded a signed publication agreement
  • uploaded speaker bio notes (≤ 70 words).

If anything above is missing, do not submit yet.

Deadline

All required materials must be submitted by 28 May 2026. Late or incomplete submissions will not be included in the proceedings or program.
